“Keep the office clean” is a wish until it is broken into jobs that a person can do, see and tick off. This printable checklist walks through each main area of a typical office, from the entrance to the break room, and suggests how often every job should be repeated: at each visit, weekly, monthly or quarterly.
It is meant for office managers, facility teams, property managers and owners who are arranging cleaning for a new space, reviewing the work of a current provider, or gathering bids. A checklist also gives everyone the same picture. The person who pays for cleaning, the people who do it and the staff who work in the building can all read one page and know what a finished visit looks like. That removes most of the guessing, and most of the disagreements that follow it.

Review the frequencies. The box (☐) in each row shows how often we suggest the job. A busy floor may need some jobs more often, while a small, quiet suite may need them less. Adjust each row to match how your team really uses the rooms.
Mark the sheet. Tick each box when a job is finished, and ask a second person to sign the “Checked by” line. That turns the sheet into a simple quality check as well as a record.

Working Through the Checklist with a Cleaning Provider
A checklist does the most good when you and your provider have agreed to it in writing. These habits help it earn its place:
Take it on the walkthrough. Go through each area on the list with the provider before any estimate is prepared. Walking the rooms reveals things a floor plan hides, such as a side door that sees constant traffic or a kitchenette that is used all day.
Make it the basis of a written scope. Your marked-up sheet is already the start of a scope of work. Add the visit schedule, who supplies what, how the cleaners get into the building and how quality is checked, and you have a document that bidders can price.
Settle the frequencies. Confirm which jobs belong to every visit and which are weekly, monthly or quarterly. When all bidders price the same list, the quotes can be compared fairly and the service matches what you expect.
Decide who stocks what. Put in writing who buys paper towels, toilet tissue, hand soap and trash liners, so a dispenser is never left empty because each side thought the other had it covered.
Agree how the work is reviewed. Ask how inspections work and name a single contact for questions and missed jobs. Keep the “Checked by” line for your own spot checks between those reviews.
Revisit it each quarter. Staffing, layouts and the way people use rooms all drift over time. A short review with your provider keeps the list in step with the building.
