Janitorial Contract Checklist: 12 Terms to Check Before You Sign

A janitorial contract checklist covers twelve terms, from the scope of work to the notice needed to end the agreement. If a janitorial services contract leaves one of them out, ask for it in writing before you sign.

BizProClean offers janitorial services in Northern Virginia and Maryland, and every agreement begins with a written scope. This checklist is general guidance, so have your own adviser review any contract.

Janitorial Contract Checklist: 12 Terms

The work

  • 1. Scope of work. Every area and every task is listed, room by room.
  • 2. Frequency and schedule. Each task has a frequency, and the visit days and hours are written down.
  • 3. Supplies and equipment. Who buys paper goods and soap, and who owns the machines.
  • 4. Chemicals and safety. Safety data sheets for the products used in your building.

Quality and changes

  • 5. Inspections. Who checks the work, and how often.
  • 6. Missed work. How you report a problem and how fast it is fixed.
  • 7. Extra services. How one-time jobs are requested, approved and quoted.

People and access

  • 8. Keys and access. Who holds keys, fobs and alarm codes.
  • 9. Workers. Whether the crew are employees or subcontractors, and how they are screened.
  • 10. Proof of coverage. General liability and workers' compensation, shown in writing.

Money and exit

  • 11. Payment. Billing dates, due dates and how extras appear on the invoice.
  • 12. Term and ending. Start and end dates, renewal, and the written notice either side must give.

If the contract renews by itself, mark the last day to cancel on your calendar the day you sign.

Chemicals, Safety and the Law

OSHA's Hazard Communication Standard requires employers to keep a safety data sheet for every hazardous chemical their workers use, and to train those workers. If you want lower-hazard products, ask for ones that carry the EPA Safer Choice label and name them in the agreement.

Frequently Asked Questions

What should a janitorial services contract include?

The areas and tasks, how often each is done, who supplies products and equipment, how problems are fixed, how billing works and how the agreement ends.

How long should a janitorial contract last?

There is no single right length. A shorter term lets you judge the work first, and a longer term brings steadier scheduling. Either way, write down the end date and the notice period.

Can I end a janitorial contract early?

That depends on the termination clause. Look for the days of written notice and how work done up to the end date is settled.

Who should supply paper goods and cleaning products?

Either side can, as long as the contract says which. Name who reorders and how shortages are reported.
